Business document storage tips

Need to store documents in an organized, space-saving way? Here are some tips:
- Banker's Boxes: if possible, get uniform ‘banker's box’ type cardboard storage boxes to
enable easy and safe stacking. Choosing medium to heavy duty banker’s boxes
(available at all office supply stores) allows you to stack 3-4 higher than light
duty boxes.
- Stacking: banker's boxes can be stacked safely 6-8 high, if you are using good
quality bankers boxes. For longer term storage and easy retrieval, consider
installing inexpensive metal or wood shelving.
- Labelling: Label the short and long side of every box, on the top right side for
uniformity. Write directly on boxes, or use peel n’ stick labels that you can print
from your item list. Use large writing (20-30 pt is good) for easy reading from the
aisle. Ensure one of the labelled sides is facing outward when stowing. Don’t label
the lid, as lids can get mixed up and put back on the wrong box!
- Storing and sorting: consider which boxes will be needed most often, and keep them
in a ‘frequently needed’ section which is conveniently situated. Some common ways to
sort your boxes: - chronologically, client last name, or department (such as Accounting,
Marketing, Company archives). Put extremely heavy boxes of books or binders on the
bottom. If your stored items vary in nature, you may want to just number all the boxes
and itemize their contents on the index(see next point).
- Indexing: Keep a list of all boxes and their contents on a spreadsheet or word
document. Make sure someone is in charge of new box creation and retrieval and the
list is kept up-to-date. Nothing is worse than ‘searching’ in storage for a
necessary item that did not get indexed!
- Save storage space: If possible, pare down files before you store. Store only what
you really need to keep. It’s amazing how a quick culling will cut down on overall
space required over time. Storing letter sized files instead of legal sized saves
you 15% storage room. If you use legal sized folders but only have letter sized
documents, consider switching in the future. Don’t store the hanging file folder -
it’s a waste of space and money. For books or office supplies - consider selling
or donating, instead of storing.
